Pavilion Rental Information
Pavilion Reservations can be made in person at the Royal Palm Beach Recreation Center located at 100 Sweet Bay Lane, Royal Palm Beach 33411 during business hours (M-F 8:00am to 5:00pm) or online at webtrac.royalpalmbeachfl.gov.

Pavilion Rental Information and Rules:
- A permit is required for all pavilion rentals.
- All pavilion rentals/reservations are intended for recreational use by private parties or gatherings that are neither advertised nor open to the general public and do not exceed the capacity or limitations of the pavilion
- Special Event reservations are intended for, but not limited to events that are commercial in nature, fund raising, are open to the general public, have admission fees, involves selling of food or goods, or exceed the capacity or limitations of the pavilion. Special events require the Special Event application to be completed and submitted to the Royal Palm Beach Recreation Center at 100 Sweet Bay Lane, Royal Palm Beach, 33411. - It is recommended that you visit the park to make sure the pavilion you are interested in and surrounding amenities will meet your needs.
- Amplified sound is not permitted (i.e bands, DJ's, PA systems, large speakers, car stereos, boom boxes etc). Small personal music devices such as radios and CD players are permitted, however sound should not travel 100 feet beyond the reserved pavilion.
- Domesticated animals are allowed on park property. Said animals must be restrained with a leash at all times at a distance not greater than six feet in length from their handler.
- No swimming or wading within Royal Palm Beach waterways per ordinance Section 17-14
- Parks owned by the Village of Royal Palm Beach are Smoke and Alcohol Free; therefore smoking and drinking is NOT PERMITTED.
- Candles, sparklers and fog machines are NOT PERMITTED. Rice, glitter, confetti, flower petals or similar materials are NOT PERMITTED. Packaging tape, thumbtacks, nails or staples are NOT PERMITTED. All decorations must be removed at the conclusion of your event. If there is damage to pavilions, walls, doors, frames, tables, chairs, or other Royal Palm Beach property the Permittee will be responsible for repair costs.
- No objects are to be inserted into the ground without the approval of Village staff. Use of tents or canopies must be approved by Village staff. Barbecue grills are provided at each pavilion; additional grills are NOT PERMITTED. Please extinguish all fires in cooking areas before exiting the park. Do not remove or dispose of hot coals from the grills.
- Animal shows (including petting zoos) are NOT PERMITTED. No performance, exhibition, or entertainment shall be given or held on the premises without Village approval
- No firecrackers, torpedoes, rockets or other fireworks or explosives of flammable material.
- No portion of the sidewalks, entries, passages, or access to public areas of the facility shall be obstructed by the Permittee, or used for any purpose other than for ingress or egress of the premises.
- Royal Palm Beach is NOT responsible for any property, including decorations, which are placed upon the premises of any Park Complex (inside and outside) by the renter or any of their agents. Royal Palm Beach staff will NOT accept items delivered before or hold for pick-up after your event. All decorations must be taken down immediately after your event. All trash must be picked up and placed in an appropriate trash receptacle before leaving the premises.
- Permittee shall not injure, damage in any manner, nor deface the premises, and will not hammer nails, hooks, locks or screws into any part of the building or make any alterations of any kind to the facility. If, during the term of this permit the facility should be damaged by the act, default, or negligence of the Permittee, there will be paid to the Village, immediately upon demand by the Village, such sums as shall be necessary to restore the premises to their previously existing condition. The Permittee assumes responsibility for any damage caused to the facility by its employees, agents or guests during the period of this permit.
- Inflatables are permitted inside COMMONS PARK ONLY. All inflatable requests must be made in person at the Royal Palm Beach Recreation Center (100 Sweet Bay Lane). The Permittee must submit a copy of the company’s insurance certificate naming the Village of Royal Palm Beach as additionally insured at the time of registration. They must also submit a receipt showing that they have a current agreement with the vendor and pay a fee of $50 per inflatable to the Village of Royal Palm Beach. If the insurance certificate, the proof of purchase, or the money is not paid three (3) business days prior to the reservation/event, Village staff will not allow the set-up of the inflatable. Electric will not be provided, a generator is recommended for all inflatable reservations. Each inflatable should have a maximum of 6-8 participants inside the structure at a given time and must have constant adult supervision. Please note that your inflatable must be removed from the park at the conclusion of your reservation. Water features and mechanical rides are NOT PERMITTED. Free standing bounce houses are recommended. If the electric is not working, it does not constitute for a refund. Please note that your inflatable must be removed from the park at the conclusion of your reservation. Inflatables cannot exceed 18’(W) x 32’(L) x 24’(H) in size. Please note that your inflatable must be removed from the park at the conclusion of your reservation.
- The Village reserves the right to eject or require the ejection of any person or persons from the facility, and upon the exercise of this authority the Permittee waives any right or claim for damages against the Village.
- The Village reserves the right to cancel or reschedule any pavilion reservation at any time. This may occur if the facility is deemed as unsafe or unsuitable for any reason. In the event that the National Weather Service issues a Hurricane Warning in our area and within 24 hours of your event, you may reschedule at no charge.
- Any authorized representative of the Village may enter the facility at any time. Permittee also agrees and understands that the Village shall have the right to remove from the facility all effects remaining at the termination of the contracted rental period and dispose of effects as trash.
- In the event of the receipt by the Village of a written notice of cancellation by Permittee of this Agreement for any reason sixty (60) days or more prior to the scheduled commencement date of use of the pavilion, Permittee will receive a full refund minus the 20% administrative fee. Permittee agrees that if such notice of cancellation is received by the Village fifty-nine (59) days or less prior to the scheduled commencement date of use of the facility, no refund shall be made and the entire permit fee shall be forfeited to the Village.
- No refunds will be issued in the event that the interactive water fountain and/or the playground(s) are under repair during your reservation. No refunds will be issued in the event that the electricity is not working inside the park or pavilion. No Refunds will be issued for inclement weather. (Exception: weather advisories such as; hurricanes, tropical storms etc.).
- A reservation may be rescheduled if the permit holder submits a request in writing to the Recreation Center sixty (60) days prior to the original reservation date, provided that a suitable substitution date is available. Only one (1) reschedule for each reservation is permitted.
- In the event that the pavilion is occupied by another party during your reserved time slot, please inform them that the pavilion is reserved and show them your permit. If they refuse to leave please call our Parks Maintenance Hotline at 561-284-0017 and inform Village Staff of the situation. If the situation cannot be remedied, call PBSO at 561-790-5180. Note: The renter should always have a copy of their permit on hand at the time of their reservation.
- INSURANCE INDEMNIFICATION : The Permittee shall indemnify, defend and save harmless the Village of Royal Palm Beach from any and all injuries (including death), property damage and other claims, liabilities, losses and causes of action arising out of any negligent act or omission by the Village of Royal Palm Beach and the Permittee during the use of facilities described on this form by Permittee or those acting under the authority of the Permittee, including participants and spectators in connection with the Permittee's activities in and on the site.
Proof of Residency
Proof of residency will be required. All households created online will be reviewed by Parks and Recreation staff the next business day. Registration fee errors will be addressed at that time and household members will be contacted. By reserving a pavilion I am accepting this agreement, I agree to comply with all rules, regulations, laws and ordinances of the Village of Royal Palm Beach and the Parks and Recreation Department in regard to the rental and/or use of facilities and agree to the indemnification above.

Special Events
If your event includes fund-raising, is open to the public or involves selling (food, services or wares), your event will be classified as a Special Event. The Special event application must be completed and submitted to the Recreation Center at 100 Sweet Bay Lane, Royal Palm Beach FL 33411.
